Finance (Financer)
How to record bills (from a boleto or manually), approve and pay, track receivables, follow delinquency, simulate taxes and export reports in Financer.
Financer (marked Beta) organizes the money the team owes and what it has to receive. The side menu has three groups: Payables (Bills, Vendors, Expectations, Payments, Recurring), Receivables (Receivables, Recurring, Expectations, Customers, Aging) and General (Chart of accounts, Invoices, Taxes, Reports, Settings). Amounts are always in Brazilian reais.
Overview
The Overview shows the reference month with the cards Spent this month, Due this month, Overdue, Expected boletos, Received this month, Due to receive this month and Delinquency, plus Next 14 days, Spending by category and Top vendors. The + New bill and + New receivable shortcuts sit at the top.
Record a bill
- Under Bills, click + New bill.
- From a boleto: drop the PDF or image onto “Solte o boleto aqui” (drop the boleto here) or Escolher arquivo (choose file); this screen is labeled in Portuguese. Axuz extracts amount, due date and vendor and creates the bill right away, opening its detail. If reading fails, the screen shows the reason and a technical code for support.
- Manual: use the typing path. Choose the Vendor, add at least one line (description, quantity, unit price, chart-of-accounts account and tax) and enter issue date, due date, interest and fine. The due date cannot be earlier than the issue date.
The bills list has search by vendor or number, a status filter and the columns Vendor, No., Due date, Total, Projected (with interest and fine) and Status. The statuses are Draft, Review, Approval, Approved, Partial, Paid, Overdue and Cancelled.
Approve and pay
In the bill detail, the buttons depend on the status and your role: Enviar para aprovação (submit for approval), Aprovar, Rejeitar (with a required reason), Registrar pagamento (record payment) and Cancelar. These buttons are labeled in Portuguese. A payment records amount, date, method (Cash, Credit or debit card, Bank transfer, Boleto, Pix, Check or Other) and a reference, such as the bank’s authentication. Partial payments leave the bill as Partial. The approvals section shows who has already approved, rejected or is pending.
Under Settings the owner or admin defines the amount from which a bill requires approval (0 = every bill), how many approvers are needed (from 1 to 10) and who they are. Under Approval policies you can create tiers: minimum amount, number of approvers and eligible roles; owners and admins can always approve.
Vendors, expectations and recurring bills
Vendors keeps the details of whoever you pay. An expectation says a boleto should arrive (for example Water or Internet), with expected amount, generation window and reminder lead time; without one, the dashboard suggests setting one up. Recurring generates bills on its own by rule (weekly, or on a day of the month) and shows the next generation.
Receivables
Receivables has search by title, reference or customer and the statuses Open, Partial, Paid, Overdue and Cancelled. Each record shows Amount, Balance and the receipts recorded. Customers registers whoever pays you, and Aging sorts lateness into Current, 1–30 days, 31–60 days, 61–90 days and 90+ days.
Invoices and taxes
Under Invoices you create an invoice (NF-e for goods, NFC-e for consumers or NFS-e for services) with a customer (validated CPF or CNPJ), items and issue data, which stays as a Draft. While issuing is not turned on, the Enviar (send) button only shows the notice “Função em preparação” (feature in preparation) and nothing is transmitted to the tax authority or the city. Taxes shows the month’s total, the split among ISS, PIS, COFINS, IRPJ, CSLL and Simples, and recent calculations. The Simulator estimates taxes by regime (Simples Nacional by annex and bracket, Lucro Presumido, Lucro Real as an estimate); set up the Tax profile (CNPJ, CNAE and rates, with ISS capped at 5%) to use automatic inference.
Reports
Under Reports: Aging, By category and By vendor (only payments actually made count), Projected cash flow (outflows for the next 12 weeks) and Export: Download CSV with up to 10,000 bills, ready for a spreadsheet. The Download XLSX button delivers, for now, the same CSV with an .xlsx extension.
