Tasks and boards
How to organize a channel's work into boards and columns, switch between Kanban, Table, Timeline (Gantt) and Calendar views, and fill in a task completely, with the limits that exist today.
Each channel can have a task board, shown in the channel’s Tasks tab. The board has columns (the stages of your process) and tasks inside them. The four views show the same set of tasks; only the presentation changes.
Create the board, the columns and the first task
- Open the channel and click the Tasks tab. If the channel has no board yet, the screen says “No task board for this channel yet.” Click Criar quadro (the button is still labeled in Portuguese).
- In the add menu, choose New column, type a name (for example To Do, Doing, Done) and use Create column. With no columns the board shows “No columns yet”.
- Click Add task. Fill in Title (required), Description, Column, Priority (Urgent, High, Normal or Low), Start date and Due date, and confirm with Create task.
If the board fails to load, the screen warns that it could not find out whether the channel has a board. That does not mean it does not exist: reload before creating another one.
The four views
The bar at the top switches between Kanban, Table, Timeline and Calendar (the URLs end in kanban, table, timeline and calendar).
- Kanban: cards in columns. Drag a card to another column (“Drop tasks here”); the card shows the subtask counter and lets you Mark as done.
- Table: one row per task, with the columns Task, Status, Priority and Due. You can sort by the headers, group, and edit the due date and priority directly in the row.
- Timeline (Gantt): bars between the start date and the due date. Drag a bar to change the dates. Tasks without dates sit in a separate strip (“No tasks with dates”). Arrows connect tasks that already have a dependency registered.
- Calendar: tasks laid out by day, with a strip for the ones that have no date yet.
Two buttons next to the views save your preference: Make my default makes that view always open for you on this board, and Pin for board sets the default for people who have no personal preference.
The task window
Click a task to open it. Changes are saved when you leave the field (“Saving…” appears). Some labels in the window still appear in English even in other languages, and a few in Portuguese.
- Status: Open, In progress, Review, Testing, Blocked, On hold, Cancelled and Done. A parent task cannot go to Done while a subtask is open (“Complete subtasks first”).
- Priority, Column, Start and due, all day: the basic properties.
- Recurring: repeats the task every N days; Pause and Resume suspend and resume the recurrence.
- Assignees: add one or more team members; Remove takes the assignment away.
- Checklist: tickable items, each with an optional attachment.
- Time tracking: log time by typing, for example,
30mor1h30m, with an optional note. - Custom fields: fields created under Manage custom fields, of the types Text, Number, Date, Select, Multiselect and User (up to 100 options per field).
- Subtasks and reactions, plus Watch, Bookmark and Save as template.
The Templates and Manage custom fields buttons in the board bar manage task templates (create a task from a template, delete a template) and custom fields. Selecting several tasks opens the bulk action bar: priority, Move to…, Assign to…, Unassign and delete.
Personal tasks and the cross-team view
In Personal mode, Tasks is a simple list that is only yours: type in the field “Add a new task and press Enter…”, filter by Open, Done or All, set a due date, Remind (15 minutes, 1 hour or 1 day before) and Snooze. There is a trash with 30 days of retention. The Tasks app shows your tasks from all teams in three columns, Overdue, Today and This week, with a Complete button. To cite a task in chat, see channels and timelines.
